Job Description

Summary: Primary responsibilities for this position are to be an integral part of the Traveler Services (Customer Service) team, closely collaborating with other departments while providing customer support and guidance for pre- and post-trip planning as well as answering pre tour questions and making sure we have all the information we need from people before they travel. Communication with customers is primarily via email and via phone.

Travel Planning work includes, but is not limited to:

  • Processing extra night requests by responding to customer requests via email and on the phone.
  • Managing communications between hotels and customers and local partners.
  • Managing the shared departmental inbox.
  • Tracking and maintaining travel-specific customer details.
  • Providing travel support and guidance within specified boundaries.

Customer service work includes, but is not limited to:

  • Review and verify customer information, including portal information prior to tour departures, ensuring information is accurate before updating, modifying or deleting records.
  • Work with Traveler Services team to review and track customer communications regarding customer portal information.
  • Work with others in the office to answer questions as travelers prepare for trips.

Skills and Experience

Required:

  • Experience in an office environment, multi-tasking capabilities, and being a self-starter.
  • Professional and polished communication skills on the phone and written in a customer service capacity.
  • High attention to detail and ability to give and receive constructive feedback to and from team members.
  • Proactive, self-motivated, team-oriented, and have a positive attitude.
  • A desire to help people and solve problems as they arise.
  • Enthusiasm and curiosity to learn new things.
  • Proficiency with CRM technology, PC systems, including Excel, Word and Outlook are critical.
  • Understands AI’s potential, uses it appropriately in line with company policy, and recognizes when human judgment should lead.
  • Comfortable working in a cross-cultural and multi-lingual environment and being a team player.
  • Interested in learning about travel and tourism from the ground up.

Preferred:

  • Experience booking international travel.
  • Experience working in customer service and travel.

Work Schedule and Conditions of Employment

This is an hourly position that generally follows a 20-hour-per-week schedule. As the role and team evolve, it may grow to 30 hours per week. Workload varies seasonally, with some weeks requiring more hours and others closer to 10–15 hours. The busiest period is typically February through August, and the role may include a few weekend or evening events each year, usually no more than three or four.

Hourly rate: $20–$25 per hour, depending on experience in the travel industry.
